Job Description

Your Role:

Are you an organised, proactive individual with a passion for providing exceptional administrative support? Join our dynamic Family Office team and contribute to a collaborative and client-focused environment!

What your day might look like:

  • Support monthly team meetings, including preparing agendas, attending, and recording minutes.
  • Prepare advisor packs for new clients, manage updates to client details in XPlan and liaise with third-party investment and insurance providers.
  • Arrange team travel and accommodation.
  • Organise appointments, room bookings, and coordinate scheduling for the division.
  • Coordinate client events, including coffee, catering, and hospitality arrangements.
  • Word process reports, letters of advice, minutes, tenders, and general correspondence (including drafting routine letters).
  • Maintain accurate electronic and hard copy filing of documents and correspondence.
  • Prepare proposals, pitches, and assist with client billing.
  • Facilitate preparations for integrated services meetings.
  • Manage and process cash transfers.
  • Handle additional duties as assigned.

Desired Skills and Experience

What makes you ‘just right’:

  • Certificate IV in Business Administration or relevant experience.
  • Strong attention to detail with a commitment to high work standards.
  • Demonstrated experience in a similar role within professional services is highly regarded.
  • Proficiency in the following software:
    • XPlan, Coin, Adviser Logic, and Microsoft Office Suite (with solid experience, particularly in Word and Excel).
  • Outstanding organisational and time management abilities.
  • Ability to work autonomously and handle competing priorities without micromanagement.
  • Excellent communication skills to liaise with internal teams, clients, and external providers.
